Housecall Pro Payment Reminders: Setup, Limits, and Workarounds
How to set up Housecall Pro payment reminders, exactly what the automated invoice reminders cover, where they fall short, and the workarounds owners use to get paid.
Housecall Pro can automatically send payment reminders for unpaid invoices. You turn them on under Settings, then Invoices, then the Automations tab, choose how often they go out and how many to send, and Housecall Pro emails the customer (and texts them, if a few conditions are met) after the invoice due date passes. Reminders keep going until you mark the invoice Paid. It is a real, useful feature, and for a lot of jobs it is enough. How do I set up payment reminders in Housecall Pro?
You set them up once in your invoice settings, and they apply to future invoices automatically. Here are the steps, current as of 2026 per the Housecall Pro Help Center:
- Click the gear icon in the top right corner of your Housecall Pro account to open Settings.
- Select Invoices from the Settings menu on the left.
- Click the Automations tab on the invoice settings page.
- Toggle on Send unpaid invoice reminders.
- Click the pencil icon next to that toggle to set the schedule.
- Under Reminder frequency, pick one: every day, or every 2, 3, 5, 7, 14, or 30 days.
- Under Send a maximum of, choose how many reminders to send, between 1 and 10.
- If you want to spare certain customers, exclude them by Customer Name or Customer Tag.
- Click Save.
One thing to know before you flip this on: changes only apply to future jobs and invoices, not the ones already open. So the pile you are worried about tonight will not suddenly start getting chased. Set it up, then work the current backlog by hand.
What do Housecall Pro's payment reminders actually cover?
They cover invoices you have already sent inside Housecall Pro that are past their due date and still unpaid. Four conditions have to be true for a reminder to fire, per Housecall Pro's documentation:
- The job is marked finished.
- The invoice has a due date.
- The balance is greater than $0.
- You have already sent the invoice to the customer.
Once the due date passes and the invoice is still open, reminders start going out on your schedule. They stop only when the invoice is marked Paid. The email goes to every address that received the original invoice. A text can also go out, but only when the invoice can be paid online (at least one online payment method, card or bank transfer, is turned on), the customer has a mobile number on file, and your account has text messaging set up, per the Invoice Email and SMS help article.
Worth separating from all this: Auto Invoicing is a different feature. It sends the initial invoice for finished work on a schedule. Invoice Reminders chase an invoice the customer already received. They are two different toggles doing two different jobs, as Housecall Pro spells out here.

Where do Housecall Pro payment reminders fall short?
The reminders are honest and automatic, but they are a blunt instrument. A few limits catch owners off guard.
They only run off the due date and the finished flag. If you forgot to set a due date, or never marked the job finished, no reminder ever goes out. The invoice just sits there, silent, and you assume it is being chased when it is not.
They stop only when the invoice is marked Paid. This one bites in the other direction. A customer mails a check, it clears your bank, and you forget to mark the invoice Paid in Housecall Pro. The reminders keep firing at a customer who already paid you. That is the kind of thing that turns a good client cold.
The cadence is one fixed interval. You pick every 3 days, or every 7, and that is the rhythm for all ten reminders. You cannot stage a smart sequence like a gentle nudge at day 3, a firmer one at day 10, and a final notice at day 30. It is the same beat, over and over, to every customer on the list.
It only sees Housecall Pro. This is the big one. The reminders chase invoices that live inside Housecall Pro. Money owed to you on a QuickBooks invoice, an emailed bill, a job you quoted over text, or a check someone promised and never sent is completely outside its view. If your money is spread across tools, Housecall Pro is only guarding one room of the house.
It does not use judgment. The reminder engine cannot tell an $8,000 invoice from an $80 one, or a reliable customer from a chronic slow-payer, beyond the customers you manually excluded. Every open invoice gets the same treatment on the same clock.
What workarounds do owners actually use?
Most of the fixes are habits, not features. These are the ones that keep the reminders working for you instead of embarrassing you.
- Set a due date on every invoice and mark jobs finished the day you finish them. This is the single point of failure. No due date, no reminder.
- Mark invoices Paid the moment a payment lands, especially checks and cash that come in outside Housecall Pro. Build it into your end-of-day routine so no one gets nagged after paying.
- Turn on an online payment method (card or bank transfer). It enables the text reminder option and lets the customer pay from the reminder itself, which is where most of the speed comes from.
- Use the exclude-by-tag option to protect your best accounts, then follow up with them personally. A generic template is the wrong tone for a customer you want to keep for ten years.
- Send the first nudge yourself. The automated reminder is a template. The first follow-up on a real invoice is worth writing by hand, because a specific, human note gets paid faster than a form email.
- Keep everything in one place. Since reminders only see Housecall Pro invoices, invoices you keep in QuickBooks or email will never get chased here. Either move them in, or track them somewhere that watches all of it.

Can Housecall Pro remind customers about quotes that went quiet?
Payment reminders are built for invoices, not estimates. The automated reminder engine described above keys off an invoice due date and an unpaid balance, so a quote sitting unanswered does not trigger it. Housecall Pro does offer customer follow-up messaging you can set up, but a dead-quiet estimate is not the same automatic path as an overdue invoice, so treat quote follow-up as its own manual habit for now. When someone owes you a decision instead of money, the reminder feature will not catch it, and that silence is where a lot of jobs die.
Should you upgrade your plan for reminders?
You do not need a top plan for basic invoice reminders. As of 2026, Housecall Pro's own pricing page lists a Basic plan at $59 per month billed annually that includes automating reminders, with Essentials at $149 and MAX at $299, and a 14-day free trial with no credit card required. Plans, prices, and which features sit on which tier change often, so confirm the current details on that page before you buy. The reminder feature itself is not the expensive part. The expensive part is the invoice you forgot to mark finished.
Doing this without Housecall Pro at all
You do not need any software to run a clean collections process. The manual version is simple and it works:
- Keep a single running list of every invoice, who owes it, the amount, the date sent, and the due date. A spreadsheet is fine.
- Set a due date on every invoice, always. Net 7, net 14, whatever you use, just make it explicit.
- Send the invoice the day the job is done, not at the end of the month. Speed of billing sets speed of payment.
- Put three follow-ups on the calendar: day 1 past due, day 7, and day 14. Use the two templates above.
- The day money lands, mark it paid and drop it off the list, so you never chase someone who already paid.
- For anything past 30 days, switch from email to a phone call. A call collects what a fifth email will not.
Run that loop and you will collect most of what you are owed without spending a dollar on tools.
